Status: Full Time
FLSA Status: Non-exempt
Reports to: Chief Executive Officer   

POSITION SUMMARY:

The receptionist is a vital member of the team and is responsible for assuring superior customer service to all Southern Oregon Multiple Listing Service (“SOMLS”) subscribers and Rogue Valley Association of REALTORS® (“RVAR”) members (collectively “customers”) and successful operations of the front office.  This position performs a wide variety of administrative support functions and makes certain phones are answered promptly and guests are greeted professionally and their needs met. This person is the first point of contact and therefore plays a primary role in promoting a professional image and valued reputation.   

ESSENTIAL FUNCTIONS:

  • Greet walk-in customers, identify need, and if applicable, direct to appropriate personnel.
  • Answer phone, assist customers with questions, aid in problem solving, and address concerns promptly and effectively.
  • Assist with new customer applications.
  • Coordinate attendance of new member orientation and ensure proper dissemination of materials.
  • Oversee keybox services and maintain sufficient inventory.
  • Assist customers with key troubleshooting and issuing new keys.
  • Assist with set up for the Board of Directors and committee meetings.
  • Be fully knowledgeable of the MLS Rules and Regulations, keybox rules and regulations and policies and procedures for both RVAR and SOMLS.
  • Assist, as needed, with all networking and community outreach events for set up, registrations, and other details as directed.
  • Receive and distribute mail.
  • Assist with annual dues and MLS billing and receipts.
  • Assist with daily MLS data reviews, as needed.
  • Assist with execution of the professional development program. Assistance may include, but is not limited to, booking appropriate venues, arranging audio/visual needs, planning food and beverage service (if any), making travel arrangements for the speaker (if any), processing registrations, monitoring attendance at virtual classes, issuing continuing education certificates, meeting record keeping requirements per the Oregon Real Estate Agency education guidelines for a CE Provider. 
  • Assist with newsletter preparation and social media posts, as needed.
  • Other duties as may be assigned by the CEO.

QUALIFICATIONS:

  • 3 years related experience is preferred
  • Ability to naturally project a positive, energetic, and professional image
  • Excellent written and verbal communication skills
  • Exceptional listening skills and patience
  • Knowledge of all Microsoft Office applications
  • Ability to learn new software programs
  • Ability to multi-task and successfully problem solve

WORK ENVIRONMENT AND PHYSICAL DEMANDS:

  • Ability to walk, stand, and sit for long periods of time, while maintaining alertness.
  • Must be able to lift and carry supplies weighing up to 20 pounds.
  • Position may require bending, leaning, kneeling, and walking.
  • Ability to speak concisely and effectively communicate.
  • Visual and auditory ability to respond to critical situations and physical ability to act swiftly in an emergency.
  • Ability to view/enter data for long periods of time.

GENERAL EXPECTATIONS

All staff members are expected to:

  • Provide outstanding customer service.
  • Have the ability to communicate, both oral and written, in a professional, approachable manner.
  • Learn and use appropriate computer software programs.
  • Be able to answer general questions about MLS and Association services and know which staff person to refer to for further assistance.
  • Have a general knowledge of the Bylaws, Rules and Regulations, and Policies and Procedures of both RVAR and SOMLS.
  • At the direction of the CEO, provide cross-training to appropriate staff members.
